SCOPE 范围 This work instruction covers releasing of SUNMING documents such as Product Documents (e.g. Mechanical drawings, etc), and QMS Documents (e.g. Policies, Procedures and Work Instructions).

This work instruction applies for releasing of documents to approved suppliers, newly approved suppliers and to a newly introduced product suppliers.

Release of documentation requested by customers shall be handled by Sales and Marketing team.

DEFINITION & ABBREVIATIONS 定义和缩略语
Quality Management System (QMS) Documentation - refers to a document category comprising of System Manual, Procedure and Work Instruction.
质量管理体系（QMS)文件 - 指组成体系手册，程序和工作指引的文件类别。
Product Documentation - refers to a document category comprising of BOM, Build sheet, Product Drawings, Product Specifications, Product Manufacturing, Procedure and Test Test Procedure.

DCN (Document Change Notice) - is used to initiate, revise or obsolete an existing QMS Documentation. 用来发起，修改或废止一个已存在的质量管理体系（QMS)
文件。
ECN (Engineering Change Notice) – is used to initiate, revise or to obsolete an existing Product Documentation.
工程变更通知，用来发起，修正或废止一个已存在的 产品文件。

Only UNCONTROLLED documents may be sent to suppliers in a printable PDF format. 只有非受控文件可以PDF的形式发给供应商。
5.0 REQUEST INITIATION 发起申请
5.1 R&D Engineer, Purchaser, Production Engineers, QA Engineers or Supplier Quality
Engineers may initiate request to sent out documents to suppliers through email to DCC. The
initiator should provide name and the email addresses of contact persons of supplier. The initiator shall fill up Document Request Form (DRF) and routes for approval.
研发部工程师，采购员，产品工程师，质检工程师或供应商质量工程师可向文件控制中心发起 申请将文件以邮件的形式发给供应商。发起者应明确供应商联系人姓名和邮件地址，填写文件 申请表并发送以获得批准。
5.2 Initiator may refer to Supplier Document Tracking List accessible through the DCC server, to verify whether the document requested has been previously send to the affected supplier. 发起者可通过文件控制中心服务器找到供应商文档跟踪列表是否可用，以核实请 求的文件是 否之前已发给了相关的供应商。
5.3 For Drawing, schematics, initiator shall fill up Document Request Form (DRF) and routes for approval from the CEO or his designates. Refer to attachment 1 for a sample of DRF.
对于制图，图表，发起者应填写文件申请表并安排给CEO或他的代理人以获得批准。参考附 件2文件申请表范例。

5.4 The DCC will send to the corresponding purchasing team member the copy of the
requested document after the DRF are approved. The Purchasing will be responsible to send the requested documents to the supplier.
当文件申请表 (DRF) 批准后，文件控制中心（DCC)负责将申请文件的副本发送给相应的采 购人员。采购人员负责将申请文件发送给供应商。
5.5 If the purchasing team member is the initiator of (DRF) document request to be sent to supplier; he / she also needs to fill in the DRF and seek for approval before sending the requested documents to supplier.
如果采购人员为将文件发给供应商之文件申请表 (DRF) 的发起人，那么他 / 她在申请
的文件被发送给供应商之前，需填写文件申请表 (DRF) 并获得批准。
6.0
APPROVAL SIGNATORIES 批准签署
Approval can be granted by CEO or his respective designate. In urgent cases, pre-approval from the the CEO warrants sending of documents to Supplier. Approval through emails can also be granted.
CEO授予批准或各自指定。对于紧急案例，从CEO获得预先核准的批文将文件发送给供应商，通过电子邮件的批准也可以。 7.0
PROCESSING 制程
7.1 DCC shall ensure supplier has previously signed a Non Disclosure Agreement with Sunming
Technologies (HK) Limited / Zhongshan Sunming Optical Technologies Limited; before any documents is sent out to supplier. In case no existing NDA can be found, DCC shall send a blank NDA form to the involved internal purchaser responsible to request the involved supplier to fill in the NDA and send the accomplished NDA form to DCC. A sample of NDA form can be found in Attachment 2 (Chinese version for Zhongshan Sunming Optical Technologies Limited) and Attachment 3 (Chinese version for Sunming Technologies (HK) Limited).
在任何文件被发送给供应商之前，文件控制中心应确保供应商已经和xxx科技 HK)有限公 司/中山xxx光学科技有限公司签署了非公开协议 (NDA) ，以防没有已存在的非公开协议 (NDA) 。文件控制中心应发送空白的非公开协议单 (NDA) 给相关的内部采购员，其负责要 求相关供应商填写非公开协议(NDA) 并将完成了的表单发送给文件控制中心。参考附件2 中山xxx科技有限公司非公开协议(NDA)中文版及附件3xxx科技（香港）有限公司（中文版）。
7.1.1 DCC is responsible for assigning NDA number and for recording and monitoring the NDA copies provided by SUNMING.

7.2 Assigning NDA Number
非公开协议（NDA)编号的分配
1.1.1 DCC shall issue NDA number comprising 10 alphanumeric in the form NDARRSSTTT.
文件控制中心应发行包含9个数字字母格式的非公开协议（NDA)编号NDARRSSTTT。

1.1.2 The 1st 3 letters NDA, denotes NDA document

1.1.3 The 2 digits RR denote the year it was released (e.g. 14 for year 2014).

1.1.4 The 2 digits SS denote the workweek it was released (e.g. 52 for the work week
covering Dec. 20 - 26 of 2014 work week calendar).

1.1.5 The 3 digits TTT is a numeric sequence within the year starting from 001.

MASTER LIST AND TRACKING 主列表及追踪 Table 1 below, defines process owners of initiating request for relevant documents needed by suppliers and provide their corresponding contact list. DCC shall update the “Supplier Document Tracking List” whenever a request has been approved and document was sent out.
